Preparing a materials enquiry
A useful enquiry identifies the product, its specification, the quantity and the destination. Drawings and datasheets help define details that a short message may leave open.
1. Identify the product
Name the material or component you need. For enquiries covering several products, list each item separately.
If you require a particular manufacturer or model, state it. Include any acceptable alternatives rather than assuming they are interchangeable.
2. Define the specification
Attach the current drawing or datasheet where possible. Include the revision number if the document has been updated.

3. State the quantity and unit
Use a clear unit: pieces, sets, square metres or another appropriate measure.
For repeated purchases, distinguish the initial order from a longer-term estimate. If you need several shipments, show the quantity and timing for each.
4. Include the destination and timing
Provide the country and port or delivery location. State your required date and whether it refers to shipment or arrival.
If you have a preferred delivery term, include it with the named place or port.
5. Identify additional requirements
Tell us about required origins, inspections, samples, documents or payment arrangements. Discussing these early helps define the quotation scope.
